Development Administration Supervisor

Overview

This position provides administrative support to a number of development staff and supervises a team of administrative staff in the campaign operations area, a unit within MMF's development department.

Responsibilities

(50%) Provide administrative support to major gift officers in efforts to cultivate and steward relationships with MMF's prospects and donors.

  • Compose/generate correspondence and reports; prepare, edit and proof proposals, documents and spreadsheets; create and maintain files.
  • Assemble appropriate marketing/informational materials.
  • Prepare gift acknowledgement communications.
  • Track important projects, including prospect and donor information/criteria for use in making "move" recommendations to major gift officers.
  • Proactively schedule and confirm appointments and visits with prospects, donors, faculty and volunteers; coordinate travel arrangements; and coordinate calendars of major gift officers as assigned.
  • Coordinate receptions and special events as assigned. Arrange event logistics, interact with vendors and volunteers and assist with follow-up to attendees after the event.

(35%) Recruit, hire, train and supervise MMF development administration staff to ensure departmental and MMF needs and goals are met.

  • Work with development leadership to set department priorities. Communicate regularly with team, including holding regular administrative staff meetings. Provide work assignment and work direction to staff.
  • Develop, implement and manage systematic ongoing orientation and training plan for development department administration staff. Provide and encourage professional development opportunities for administrative staff as appropriate.
  • Provide regular honest and timely performance feedback and conduct annual performance evaluations.
  • Document departmental procedures and make recommendations on system or process improvements.
  • Handle and/or delegate miscellaneous requests and projects.

(10%) Serve as a liaison with donors, volunteers, and other external and internal constituents relevant to the efforts of the departments.

(5%) Perform other duties as assigned by the AVP for Development.

Qualifications

Essential (Required) Qualifications

  • High school diploma/GED and at least four years of related office experience.
  • Previous supervisory experience required; ability to lead a team of administrative staff.
  • Knowledge and understanding of office operations and procedures.
  • Working knowledge of Microsoft Office, including Word, Excel and PowerPoint, Outlook scheduling and database programs. Working knowledge of mail merge.
  • Outstanding oral and written communication skills.

Selection Criteria (Preferred Qualifications)

  • Associates degree or college coursework in business or related field desired.
  • Experience in a health related, fundraising or nonprofit organization.
  • Experience coordinating event logistics and working with volunteers.
  • Experience with Raiser's Edge database.
  • Internet and general research skills.
  • Advanced level grammar, spelling and punctuation skills.
  • Excellent customer relations and interpersonal skills.
  • Ability to handle multiple priorities and work independently in a fast paced environment.
  • Ability to establish and meet deadlines.
  • General record keeping and finance skills.
